JOB SUMMARY
The Manager Philanthropy Data & Systems, reporting to the Senior Director, Philanthropy Operations and Fund Management, is responsible for designing, implementing, and maintaining the technical infrastructure that powers fundraising, donor engagement, and campaign operations. This role ensures that all systems are integrated, secure, scalable, and aligned with the department’s mission to advance philanthropic impact. The Manager supports strategic decision-making by maintaining high-quality data standards, implementing data governance practices, and collaborating with cross-functional teams, including IT, Finance, and external vendors. This role includes the supervision of the Coordinator, Data & Systems, providing leadership and mentorship to support team growth and performance.
ESSENTIAL DUTIES AND RESPONSIBILITIES

· Leads and contributes to the development and implementation of scalable philanthropy data systems that align with the department's current and future operational and data-driven objectives
· Collaborates closely with IT, external technical consultants and vendors to translate operational needs and create technical solutions that align with NCH’s long-term strategic goals
· Provide oversight of the functionality of philanthropy-specific platforms (Raiser’s Edge, Asana, and Constant Contact) by managing user access, maintaining accurate data and lists, and supporting staff in effective use of these systems to integrate in departmental workflows, standards, and to inform data-driven objectives.
· In collaboration with Philanthropy team leadership, develops and manages performance dashboards, reports and financial modeling to assess progress against department goals.
· Regularly assess system performance, identifies bottlenecks and partners with IT and vendors to implement long-term solutions.
· Designs and implements comprehensive incident response and recovery plans for the Philanthropy's data ecosystem, ensuring preparation for data breaches, system failures, or other critical events
· Ensures system interoperability and integration with finance to reconcile data and support audit requirements.
· Evaluates and recommends emerging technologies that enhance and support donor engagement, event management, campaign tracking, and philanthropy operations.
· Provides direct supervision of the Coordinator, Data & Systems to ensure timely, accurate entry and maintenance of donor records.
· Establish and enforce departmental data systems best practices, including SPOs, validation rules and cross-platform standards.
· Uses advanced knowledge of queries, data merges and data output to generate recurring and ad-hoc reports to support and enhance fundraising efforts.
· Initiates routine data health management activities in Raiser’s Edge and maintains the integrity of donor records by working closely with staff to ensure that demographic and gift transactions are recorded accurately and in a timely manner, thus enhancing donor relations and ensuring appropriate audit trails.
· Establish and monitor security access by job function of all staff in Raiser’s Edge.
· Maintains and monitors “Do Not Mail, Do Not Solicit” lists from Constant Contact and other platforms to ensure that opt-out preference is up to date each time the department produces a mailing.
· Works collaboratively with staff to create or utilize existing reports in Raiser’s Edge to identify trends or for comparison with other databases. Performs complex analysis of information to ensure accuracy.
· Demonstrate an ability to solve problems, overcome hurdles and navigate sensitive issues with discretion, tact and strong communication skills.
· Follow established NCH policies, procedures, objectives, performance improvement, attendance, safety, environmental, and infection control guidelines, and practice a high level of integrity and honesty in maintaining confidentiality.
EDUCATION, EXPERIENCE AND QUALIFICATIONS
· Bachelor’s or Master’s degree in Computer Science, Information Systems, or related field.
· Minimum of 5 years of experience in systems architecture, preferably in a nonprofit or fundraising environment.
· Experience with CRM platforms such as Salesforce Nonprofit Cloud, Blackbaud, or Raiser’s Edge as well as project management platforms, Constant Contact, Microsoft Word, Outlook, Excel, and PowerPoint
· Strong understanding of data integration, cloud computing, and cybersecurity.
· Excellent communication and project management skills.
· Highly organized with meticulous attention to detail and a demonstrated ability to produce error free work when performing a variety of functions such as typing, editing, data entry, file management, and calculations in a timely manner.
· Highly developed verbal and written communication skills and the ability to communicate technical concepts to non-technical audiences.
· High level of productivity and initiative and the ability to handle multiple projects simultaneously in a fast-paced environment.
· Tactfulness, flexibility, and collaboration are essential in working with diverse population groups (co-workers, constituents, physicians, faculty, staff, vendors, etc.)
· Good judgment, a positive attitude, the ability to take initiative and work independently.
· Ability to work with minimal supervision along with a willingness to ask questions to clarify assignments and accept supervisor’s guidance.
