JOB SUMMARY

The HRIS Specialist, working under the direction of the Director, HR Payroll Audit, will support all HR systems including HR/Payroll, applicant tracking, performance management, position management, education, etc. This position will be responsible for maintaining and tracking HR dashboards and metrics; continuously improving operational efficiencies and data accuracy; implementing new technologies and functionality; recommending and implementing process and workflow improvements within the HR Department. The HRIS Specialist ensures accuracy of source data and understands how various HR systems integrate from an HR perspective, prepares, and distributes multiple bi-weekly and monthly reports ensuring data accuracy, prepares multiple standard and customer reports involving HR-related data. Answers questions, follows up on the requests for routine information and ensures a continuous workflow, makes recommendations for the improvement of workflow. The HRIS Specialist works closely with HR and Payroll audits team.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Other duties may be assigned.

· Maintains and updates multiple HR Dashboards to track HR metrics to follow best practices in all areas of HR. Identifies gaps in performance and makes recommendations for correction and improvement.

· While working with HR leadership, actively participates in the design and implementation of HRIS systems and enhancements across multiple HR systems including HR/Payroll, hiring, performance management, education, and engagement systems.

· Actively participates in system upgrades, new modules implementation, process, and system redesigns.

· Continually identifies process and automation opportunities to reduce manual processes and ensure data accuracy.

· Assists with the design, testing and implementation of interfaces and file transfers within HRIS systems.

· Provide support for HRIS including, but not limited to, researching, and resolving user end problems, unexpected results, or process flaws.

· Using system reports to write custom reports for other users and troubleshoots and maintains existing reports.

· Responsible for the Systems security and administers the set-up of new users with the appropriate access. Includes consultation with the directors and their designees to determine necessity for access. Requires obtaining all appropriate paperwork and approvals for system access. Performs routine maintenance to remove users who have left the system or who have transferred to non-eligible positions.

· Generates administrative reports as requested by department directors. Prepares charts for presentations as requested.

· Performs various weekly, bi-weekly, and monthly audits to ensure accuracy, makes recommendations and implements process improvements.

· Provides technical and educational support to users. Develops training materials and manuals. Requires routine follow-up with users as well as periodic training sessions on processes and procedures. Recommends changes to best practices, procedures and processes as needed.

· Assists in the completion of surveys and other major HRIS projects.

· Designs and delivers standard monthly reports including, turnover; license reports, transfer reports; vacancy rates; bureau of labor statistics; employee rosters, hires, terms; employee upload; etc. Write custom reports using Crystal Reports, query tools, excel and Access database software. Writes reports for other users and generates routine and on demand reports in a timely manner. Troubleshoots and maintains existing reports.

· Produces turnover statistical information for NDNQI reporting as well as other standard and on-demand requests for nursing administration.

· Ensures compliance with policies, rules, and regulations.

· Maintains Procedures Manual for this role ensuring all processes and procedures are current and up to date including information on the Intranet.

· Collaborates with, is cross trained in, and performs basic job duties of other HR staff. Serves as a Human Resources professional and can assist customers in all basic HR functions.

· Provides backup to other HR positions as appropriate and needed.

· Perform as an essential employee for the Human Resources Department. Essential employees are those who have critical functions to support the organization during and immediately after a weather disaster or pandemic. Essential employees are expected to report for duty as scheduled.  

    EDUCATION, EXPERIENCE AND QUALIFICATIONS

    · Bachelor’s Degree required, preferred in Business, Human Resources, HRIS or equivalent work field.

    · Minimum 1 year of experience in Human Resources with an emphasis on HR systems.

    · Exceptional excel and analytical skills including v-lookup, pivot tables, formulas, graphs, and ability to analyze large volumes of data and turn into meaningful information and identify discrepancies.

    · Strong and broad understanding of HRIS and Payroll systems including system design, system setup, multiple modules and reporting required; interface and system implementation experience preferred.

    · Lean training, process improvement experience strongly preferred.

    · Must possess a strong attention to detail, accuracy, and analytical abilities to solve problems and issues.

    · Outstanding written, oral, and interpersonal communication skills.

    · Experience balancing a dynamic workload with constantly changing priorities, deadlines, and project scopes.

    · Experience in analyzing HRIS and HR performance metrics preferred.

    · Experience in documenting processes, as well as performing diagnostic tests and audits preferred.

    · Ability to keep up with technical innovation and trends in HRIS Analysis.
