JOB SUMMARY

This role provides comprehensive administrative support to the physician practice. The Coordinator Surgical Scheduling is responsible for all aspects of surgical coordination, from scheduling appointments to ensuring pre-surgical requirements are met. They act as a liaison between patients, physicians, and hospital departments, maintaining a professional and efficient environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES

· Executes Triage patient calls and inquiries.

· Provide exceptional customer service by proactively reaching out to surgical candidates as directed by the surgeon.

· Schedule pre and post operative office appointments and preadmission testing appointments.

· Coordinate surgical procedures and ancillary imaging as required by the surgeon.

· Ensure timely scheduling and authorization of surgeries, accurately inputting information into the EMR system.

· Collaborate with ASCs and input necessary patient demographics and case information into their surgical scheduling platform. Ensure all operative notes are received from the ASC and input into our EMR. Submit all billing documents to the revenue integrity team.

· Manage and confirm appointments, proactively fill open surgical slots and rearranging schedules as needed.

· Collaborate with primary care and specialty providers to obtain necessary surgical clearances.

· Coordinate with vendors to schedule complex procedures and ensure necessary equipment, implants, and grafts are secured.

· Track and ensure completion of all necessary pre-surgical documentation, including clearances, tests, labs, and insurance authorizations.

· Assist patients with enrollment in surgical education programs

· Assemble surgical packets and educational materials for patients prior to preoperative appointment.

· Manage patient referrals and obtain insurance authorizations,

· Communicate provider professional fees for procedures.

· Work collaboratively with Ensemble staff to provide patients with financial quotes.

· Communicate effectively with patients, providing instructions and information regarding procedures and financial obligations.

· Act as a liaison between the physicians, hospital departments, and patients, ensuring seamless communication and coordination.

· Work with hospital scheduling on OR block needs and releasing unnecessary blocks.

· Work independently and as part of a team, maintaining a positive attitude and aiding coworkers.

· Uphold high standards of customer service and contribute to a professional atmosphere.

    · Maintain patient confidentiality and privacy.

      EDUCATION, EXPERIENCE AND QUALIFICATIONS

      · Minimum of Associates degree with 2 years’ experience in a healthcare setting OR High School/GED with 5 years’ experience in a healthcare setting required.

      · Six months of relevant healthcare revenue cycle, scheduling, or customer service experience preferred.

      · Communication: Excellent verbal and written communication skills for interacting with patients, staff, and insurance providers.

      · Customer Service: Exceptional customer service skills, maintaining a professional and empathetic demeanor.

      · Organization: Strong organizational and time management skills to handle multiple tasks, appointments, and deadlines efficiently.

      · Problem-Solving: Ability to anticipate challenges, troubleshoot issues, and find effective solutions.

      · Technical: Familiarity with medical terminology, understanding of coding, and proficient with electronic medical record systems.

      · Knowledge of healthcare and health insurance procedures.

      · Ability to multitask in a fast-paced environment.

      · Ability to work independently and as part of a team.

      · Strong attention to detail and accuracy.

        · Ability to maintain confidentiality and adhere to ethical guidelines.
