JOB SUMMARY
The Assistant Director of Experience Operations & Integration works hand-in-hand with the Director of Brand Experience to carry forward a brand-aligned vision across all internal and external engagements. Where the head director defines the experience arc, this person ensures it moves forward with elegance, coordination, and consistency.
This role manages timelines, aligns cross-functional teams, builds templates and systems, and holds the operational rhythm of storytelling, campaigns, and branded moments. They are the go-to for integration—connecting communications, philanthropy, creative vendors, and internal experience leads to ensure cohesive execution across every touchpoint. This role operates fully within the Philanthropy ecosystem, supporting donor-facing initiatives in partnership with Major Gifts, Stewardship, and Campaign teams.
ESSENTIAL DUTIES AND RESPONSIBILITIES

Project Integration & Strategic Flow
· Translate strategic vision defined in collaboration with the Chief Impact Officer into timelines, workflows, and tangible actions
· Manage the operational rhythm of donor campaigns, activations, and external initiatives
· Anticipate downstream needs and ensure each department is aligned and supported
Cross-Functional Orchestration
· Serve as a liaison between Philanthropy, Marketing, Communications, and Operations
· Actively coordinate with Philanthropy to align donor journey timing, messaging, and experience planning
· Make informed decisions on communications execution and content flow to ensure message clarity, brand consistency, and strategic alignment
· Track open loops and close gaps across multiple stakeholders with clarity and diplomacy
Experience Operations & Detail Design
· Build foundational processes for the execution of branded experiences and curated donor touchpoints
· Lead vendor selection and partnership coordination for event production, creative services, and print/design deliverables; support contract execution in collaboration with Philanthropy operations
· Collaborate on event budgets and ensures vendor and production costs align with strategic priorities and fundraising goals
· Manage logistics and quality control for major engagements, experiences, or internal rollouts
· Collaborates on the execution of signature donor events, ensuring alignment with brand experience strategy, emotional tone, and operational excellence
· Elevate moments with intentionality—ensuring every detail reflects emotional tone and strategic clarity
· Support the strategic curation of hosting opportunities through thoughtful relationship development and experience design
Data, Metrics & Platform Integration
· Works in tandem with internal and external resources to support platform design, UX testing, and implementation of new tracking tools
· Support development and definition of tracking methodologies, KPIs, and reports to measure efficacy
· Use insights to iterate experience design and ensure visibility impact across departments
Storytelling Infrastructure & Asset Management
· Maintain a library of story assets, branded templates, scripts, presentations, and campaign materials
· Coordinate creative reviews and message alignment across platforms and teams
· Ensure every message and moment is on brand, on time, and emotionally resonant
· Collaborate with communications to support development of aligned marketing materials for donor experiences and events
Cross-Training & Capacity Building
· Establish a structure for cross-training and shadowing within the team
· Document key workflows, best practices, and experiential processes to ensure continuity and team development
· Support a culture of shared learning, enabling team members to grow into new areas of ownership and understanding
Measurement & Continuous Improvement
· Gather qualitative feedback and engagement metrics post-campaign or event
· Compile impact snapshots and storytelling reports to share with leadership and across teams
· Reflect patterns and insights back to the Director and Chief Impact Officer for ongoing refinement and strategic clarity
New Collaborative Highlights:
· Embedded with Philanthropy and Marketing to ensure real-time coordination of donor experiences and messaging
· Works in tandem with internal and external resources to support platform design, UX testing, and implementation of new tracking tools
· Builds cross-functional fluency across marketing, creative, philanthropic, and operational teams—ensuring trust, handoff readiness, and consistency
EDUCATION, EXPERIENCE AND QUALIFICATIONS
· Minimum of Bachelor’s Degree with 4 years’ experience in philanthropy, business, nonprofit, program management or equivalent OR Minimum of Associate Degree with 7 years’ experience in philanthropy, business, nonprofit, program management or equivalent required.
· Minimum 1 year of supervisor experience preferred.
· Outstanding oral and writing skills are essential. This position requires superior communication and interpersonal skills to maintain excellent rapport with the community and NCH and in order to communicate clearly and professionally. The position entails knowledge of the basics of effective public relations and diplomacy.
· Advanced computer skills with demonstrated ability to acclimate easily to new software and knowledge of data gathering techniques are required. Good analytical and problem-solving skills are vital as well as the capability to understand, interpret and apply specific administrative policies. Furthermore, the ability to analyze, synthesize and concisely communicate information is vital.
· The capability to manage and prioritize projects effectively to meet the demands of the variegated functions is essential. Furthermore, it necessitates an experienced person, self-driven, and capable of working independently and/or in a team to the benefit of the Center for Philanthropy, and who has previously worked in a multi-tasked environment.
· Intermediate computer knowledge uses Microsoft Word, Excel, Outlook, and Windows.
