JOB SUMMARY

The Specialist will play a key role in supporting the Chief Impact Officer (CIO) and the Administrative Director of Volunteer and Executive Initiatives (ADVEI) by leading high-priority projects, managing cross-functional workflows, and ensuring efficient execution of initiatives aligned with the organization’s impact goals. This role requires a highly organized, proactive, and relationship-oriented individual with strong project management expertise, excellent communication skills, and the ability to operate with discretion in a fast-paced, mission-driven environment.

The Specialist will be responsible for driving project execution (50%), providing direct leadership and administrative support to the CIO and ADVEI (30%), and coordinating external relations activities (20%). The ideal candidate thrives on managing complex projects, building strong internal and external relationships, and helping senior leaders stay focused on strategic priorities.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Project Management (50%):

  • Manage the execution of key projects overseen by CIO and ADVEI, ensuring deadlines are met and tasks are completed on schedule.
  • Develop, manage, and track detailed project plans, timelines, and milestones for multiple initiatives simultaneously.
  • Proactively identify, assess, and develop risk response strategies and manage risk throughout the project.
  • Build and maintain strong relationships with key stakeholders, addressing their concerns and managing expectations.
  • Facilitate regular check-ins with stakeholders, keeping CIO and ADEI and team updated on project statuses.
  • Communicate effectively with stakeholders at all levels, including team members, ELT, donors, and community partners.
  • Provide regular progress reports to the key stakeholders, CIO and ADEI, and others, as needed.
  • Contribute to the development and improvement of project management processes and best practices within the organization.

Leadership Support (30%):

  • Provide support to CIO and ADVEI, including scheduling, preparing meeting materials, and ensuring all requests are documented and tracked in an organized system.
  • Prepare and manage briefings, reports, updates, and presentations as needed, ensuring appropriate parties have the most up-to-date information at all times.
  • Maintain confidential and sensitive information with discretion and professionalism.
  • Prioritize and manage CIO and ADVEI’s workflows by determining which requests or projects need immediate attention.
  • Act as the primary point of contact for internal and external requests, triaging them based on urgency, importance, and available resources.
  • Ensure timely follow-up on all outstanding tasks and requests, escalating matters to the CIO and ADVEI as necessary.
  • Maintain an organized system to track requests, responses, and outcomes, ensuring no task falls through the cracks.

Fundraising & External Relations Support (20%):

  • Coordinate follow-up actions related to donor outreach, partner communications, and stakeholder engagement, ensuring that no correspondence is overlooked.
  • Help ensure effective management of external relations, including organizing meetings, tracking interactions, and following up on action items.
  • Assist with the management and logistics of community outreach and speaking engagements, including scheduling, communication, vendor coordination, and tracking event-related tasks.
  • Maintain a comprehensive event timeline, ensuring all steps are executed according to plan.
  • Support post-event follow-up activities, including thank-you notes, surveys, and reviewing event outcomes.
  • Oversee and develop the engagement of volunteers and interns in external relations activities.

    EDUCATION, EXPERIENCE AND QUALIFICATIONS

    · Bachelor's degree in communications, public relations, hospitality, or other related field OR High School/GED with 6 years of experience in event planning.

    · Formal certification in project or change management preferred.

    · Experience engaging with the public at community events, with respect, enthusiasm and positivity.

    · Excellent organizational skills.

    · Superb mastery of current technology tools (Canva, G-suite, MS Office, Zoom, etc.) and ongoing eagerness to adapt to new technologies.

    · Enthusiasm for collaboration with multiple departments and disciplines.

    · Strong public event planning, promotion, and implementation background, including directly running and promoting public events.

    · Strong knowledge of budget management, supervisory experience, and staff planning experience.

    · Strong knowledge of social media and other basic marketing platforms.

    · Detail-orientated with the ability to manage multiple projects at a time.

      · Ability to develop positive community relationships.
