JOB SUMMARY
At HSS at NCH Orthopedics and Musculoskeletal Center, we are committed to delivering world-class healthcare with personalized services and operational excellence. The Executive Coordinator MSK Center will primarily serve as the executive assistant to the VP MSK Center & Orthopedics and Executive Medical Director, providing comprehensive executive support while ensuring an environment characterized by warm, polished, and professional services. This pivotal role involves seamlessly integrating administrative and hospitality services to ensure unparalleled excellence. Reporting directly to the VP, this position will coordinate and implement advanced administrative and hospitality systems, policies, and procedures with a white-glove approach. The Executive Coordinator will provide VIP concierge services, catering to individual needs, and anticipating stakeholder needs. ESSENTIAL DUTIES AND RESPONSIBILITIES

· Act as the primary support to the VP and Executive Medical Director, managing calendars, coordinating travel, and facilitating meetings with a proactive and anticipatory approach.
· Lead VIP concierge services to VP and Executive Medical Director, senior leadership, medical diplomats, and VIP clinical staff and recruits, focusing on customized experiences from pre-arrival to departure for accommodation, transportation, entertainment, and dining; ensuring every interaction is memorable and personalized.
· Design, implement, and perform advanced administrative services, policies, and procedures to streamline operations and enhance efficiency, providing essential administrative support to the VP and Executive Medical Director.
· Develop and oversee a comprehensive hospitality training program for staff, emphasizing the importance of relationship-based service and the integration of hospitality principles into everyday staff and patient interactions.
· Serve as a trusted advisor to the VP and Executive Medical Director, utilizing a deep understanding of healthcare and hospitality to inform strategic decisions and operational improvements.
· Coordinate executive-level communications and materials with an eye for detail, ensuring all information is handled with discretion and professionalism.
· Coordinate and facilitate executive-level meetings and events, including preparing agendas, taking minutes, and following up on action items.
· Independently manage special projects related to the opening and ongoing operations of our new center, demonstrating resourcefulness and proactive problem-solving abilities.
· Elevate the level of support and service provided by the administrative team, implementing strategies to ensure a seamless and efficient experience for all stakeholders.
· Collaborate with cross-functional teams to integrate hospitality best practices into various aspects of our organization, fostering a culture of excellence and continuous improvement.
· Assist in the recruitment, hiring, and onboarding of additional administrative staff as the organization grows, ensuring alignment with our values and service standards.
· Conduct research, develop, implement, and manage an internship program aimed at offering students hands-on experience, final projects, and exposure to diverse facets of healthcare administration and hospitality services.
· Serve as the point of contact between the VP, Executive Medical Director, and other staff, internal and external partners, managing incoming and outgoing communication and filtering information to ensure that the VP and Executive Medical Director only receives what is necessary and relevant.
· Lead special projects with a focus on enhancing the center’s hospitality and administrative processes, applying innovative solutions to meet evolving needs.
· Foster a culture of continuous improvement and excellence within the administrative team, setting new benchmarks for support and service in healthcare.
EDUCATION, EXPERIENCE AND QUALIFICATIONS
· Minimum of Associate Degree in business administration, Hospitality Management, or a related field.
· Minimum of 5 years of experience in executive support roles, preferably in a healthcare, hospitality, or business setting.
· Foster a culture of continuous improvement and excellence within the administrative team, setting new benchmarks for support and service in healthcare.
· Exceptional communication and interpersonal skills with a customer-centric, growth mindset.
· Proven ability to work independently and take initiative in a dynamic environment.
· Strong organizational skills with the ability to manage multiple priorities and deadlines effectively.
· Relationship-centric approach and experience in delivering high-level concierge or hospitality services, with a focus on creating exceptional experiences.
· Ability to prioritize multiple tasks in an ever-changing environment.
· Quick learner with exceptional technology skills and a keen attention to detail.
· Experience with project management and process improvement initiatives is highly desirable.
· Advanced computer knowledge, including proficiency in Microsoft Office Suite.
· Proficiency in End-User devices, including tablets and mobile devices.
· Proficiency in Canva or similar design software for creating high-quality documents, presentations, and other visual materials.
· Knowledge of healthcare industry regulations and standards is a plus.
